– Managing the on-line delegate registration system and all delegate correspondence.
– Designing a floor plan and layout of the venue ensuring that there are sufficient catering points and circulation space for delegates to network.
– Handling negotiations with support companies and assisting with hotel bookings, hiring of exhibition furniture and so on.
– Negotiating with the conference venue and ensuring that all elements of the contract have been met.
– Providing on-site registration staff, with a focus on friendly, professional, well-trained and multilingual individuals.
– Providing audio visual and technical support and ensuring that there is sufficient signage in and around the venue.
– Organizing conference catering and above all making sure that the quality of food and drinks is consistently high.
– Negotiating discounted rates at nearby hotels and putting in place an on-line booking system with a link from the main registration site.
– Organizing a social program for the conference including a cocktail receptions, gala dinners, refreshment breaks, tourist activities and so on.
– Organizing shuttle transportation to/from Porto airport and organizing transport throughout the event.
– Planning pre/post conference tourist options for delegates should they wish to extend their stay in Portugal.
